In projects with coffee and fast-food chains we kept seeing the same picture: the register in one system, stock in a spreadsheet, shifts in chat groups and audits on paper. With two or three branches that fragmentation feels manageable. As the branch count grows, head office ends up spending a large part of every week reconciling numbers from different sources.

We built Flactrum to solve that problem. In this post we explain why the product was needed, the principles we followed while designing it, and how a chain can move to Flactrum.

The hidden cost of fragmentation

For chains, the problem is rarely a single missing feature. The real problem is that the same work runs in different tools with different definitions. "Daily revenue" is calculated one way at the register, another way in accounting and a third way in head office's spreadsheet.

Reconciling reports

When each branch sends its day-end report in a different format, the team at head office first has to translate them into a common language. It takes time and invites mistakes. The numbers needed to judge whether a campaign worked arrive after the moment to decide has passed.

Stock, waste and theoretical usage

If recipes are not defined in the system, it is hard to know how much milk, coffee or packaging a branch really used. The gap between the count and theoretical usage, in other words waste or loss, only shows up at month end, and usually as an estimate.

Shifts and audits

When shift plans live in messaging apps and opening checks or hygiene audits stay on paper forms, there is no way to see whether standards are applied the same way across all branches.

The "one true picture" approach

Our starting point for Flactrum was simple: if every branch's data lives in one place with the same definitions, the "which report is right" argument ends by itself. So we built the register, menu and recipes, stock, staff and audit modules not as separate apps but as parts of one shared data model.

In practice this means that when an order placed at the kiosk reaches the kitchen display, the recipe ingredients are deducted from theoretical stock, and the sale appears in the register's day-end report and on head office's branch dashboard at the same time. The area manager checking the Flactrum Management app and the finance team reviewing reports see the same number.

Four surfaces, eleven modules

Flactrum has four surfaces: a web-based back office for head office, the register and kiosk for branches, a mobile app for managers, and customer-facing screens (order board and kitchen display). Eleven modules run behind them:

You do not have to use every module at once. Many chains start with the register, kiosk and reporting, and turn on stock and shift modules later.

A product tested in the field

Flactrum's mobile apps are live on Google Play. Flactrum Kiosk combines the self-service ordering kiosk, the kitchen display and the customer queue board in one app. Flactrum Management lets managers use the branch dashboard, stock alerts, shift approvals and the report studio from their phone.

We improve the product with field feedback in every release. The "open a draft campaign" shortcut on the stock alert screen, for example, came from branch managers who wanted to launch a discount quickly on an item that was about to run out.

Start small, scale

Chains do not, and should not, switch systems overnight. The path we usually recommend looks like this:

  1. Pilot: start with two branches using the register, kiosk and reporting modules, and define menus and recipes.
  2. Validation: compare the pilot branches' numbers with the existing system in parallel for a few weeks.
  3. Roll-out: bring branches on in groups and add the stock and shift modules.
  4. Integration: connect accounting, e-invoicing, meal cards and food delivery marketplaces.

Setup takes about a day on average, and the 14-day free trial needs no credit card, so the decision can be made with real branch data rather than a slide deck.

Security and compliance

A chain's sales, staff and customer data is one of its most valuable assets. In Flactrum, data is hosted in Türkiye and processed in line with KVKK. Our processes are aligned with ISO 27001; every connection is encrypted with TLS, admin accounts can use two-factor authentication and data is backed up daily with encryption. We target 99.9% availability for the platform.

A branch manager's day: before and after

The best way to see the impact of technology is to look at a branch manager's day. In a fragmented setup, the day starts with filling in a paper opening checklist and sending a photo of it to head office. Then come messages in the shift group about staff who did not turn up, a stock count in the afternoon typed into a spreadsheet, and at the end of the day a register report plus a separate file for accounting. Every step happens in a different tool, in a different format.

With Flactrum the same day looks much simpler. Opening checks are done with a digital form in the app and head office sees the result instantly. Shift plans and approvals live in the same app, and when someone does not show up, the people who can cover are listed. The count is compared with theoretical stock calculated from recipes, and the difference flows automatically into the waste report. The day-end report needs no extra work, because it is produced from the same data as head office's dashboard.

What changes for head office?

Comparable branch performance

When every branch reports with the same definitions, comparing branches finally becomes meaningful. Average basket, hourly revenue and channel mix (register, kiosk, mobile, marketplace) can be seen side by side on one screen, so practices from a strong branch can be carried over to others.

Adding a new product or updating prices stops being a job done branch by branch. The change is made centrally and reaches the register, kiosk and mobile channels at the same time. Where regional pricing is needed, separate price lists can be defined for groups of branches.

Audits you can measure

When hygiene and standards audits are done with digital forms, each branch's audit score can be tracked over time. Recurring gaps become visible, and training can be planned from data.

Integrations and the open API

No business runs on a single piece of software. Flactrum is designed to integrate with accounting and e-invoicing systems, meal card providers and food delivery marketplaces. With its open API and webhooks, a business's own systems can also subscribe to Flactrum events such as new orders, day-end or stock alerts.
